Automatic Email and Attachment Filing: The End of Manual Sorting

You spend on average 23 minutes a day filing emails. Do the math: that's over 96 hours per year — the equivalent of twelve workdays spent dragging and dropping between Outlook folders.

BoosterMail eliminates this dead time. Every received email and every attachment is automatically filed in the right folder — Outlook for emails, Windows for files. Here's how it works, and why manual sorting now belongs to the past.

The hidden cost of manual sorting

The problem isn't that filing an email takes a long time. It's that you do it dozens of times a day, at each interruption, on the surface of your attention. Every micro-decision ("does this mail go in Clients or Projects?") fragments your focus and costs an average of 23 seconds of cognitive recovery.

Multiply by 60-100 emails per day. The bill gets steep:

That's nearly one full hour every day spent on zero-value work.

How BoosterMail automatically files your emails

BoosterMail's filing engine uses a 4-tier cascade combining strict rules and artificial intelligence. For each new email received, the system goes through these steps in order:

Tier 1 — Contact history

If you have already manually filed several emails from laurent.bertrand@law-firm.com in the Clients/Bertrand & Associates folder, BoosterMail detects this pattern. On Laurent's next email, immediate suggestion of the same folder — 95% confidence.

Tier 2 — Domain and sender

All emails from @ovh.com go to Suppliers/OVH. All those from @hmrc.gov.uk to Admin/Tax. These rules build themselves without configuration: BoosterMail observes your habits and applies them.

Tier 3 — Subject and content analysis

An email whose subject contains "invoice", "quote", "purchase order" will go to Accounting. A mail containing a schedule or a meeting invitation to Calendar. Analysis is done on the subject, body, and even attachment content.

Tier 4 — AI decision (Claude)

If the first three tiers don't decide, the Claude engine takes over. It reads the full context of the email (sender, conversation thread, content, attachments) and proposes the most relevant folder from your existing tree — with a readable justification if you want to see it.

"Before BoosterMail, I spent 30 minutes every morning filing what had accumulated overnight. Now my inbox is sorted in the background while I sleep." — Marine D., Sales Director

Smart attachment filing in Windows

BoosterMail doesn't stop at emails. Attachments are also automatically filed in your Windows tree — in the right place, with the right name.

Smart renaming

An attachment named scan001.pdf containing a quote from your supplier ABC will be automatically renamed 2026-05-25_Quote_ABC_IT-Equipment.pdf. The name follows your usual naming convention, detected from existing files in your folders.

Synchronized Windows tree

The attachment is then moved to the right subfolder under C:\Documents\ depending on the nature of the document (invoice, contract, schedule, photo, etc.) and the sender. You never have to open Windows Explorer to file a downloaded file again.

Continuous learning: the more you use it, the better it files

BoosterMail doesn't rely on static rules. Every time you correct a filing suggestion, the algorithm learns. After 3-4 weeks of use, the correct filing rate reaches 92 to 96% depending on user profile.

More importantly: what is learned in one category propagates. If you systematically file emails from a new supplier in a dedicated folder, BoosterMail anticipates and suggests this folder from the second email — even without a written rule.
